About the Role

We are looking for an enthusiastic, proactive and organised Facilities Coordinator to join our Global Facilities Team to support our amazing and fast-growing Cork operations. In this varied role, you will be the contact for employee requests relating to office equipment, tools, transportation, and building amenities to name a few. Your responsibilities will include ensuring onsite security, health and safety compliance, maintenance management and delivering enhancements within organisational standards. You will report to Facilities Manager.

You will be onsite 5 days a week between the office hours of 09.00 to 17.30 (Mon - Fri)

You Will:

  • Manage facilities related requests, troubleshoot tickets and inquiries as the primary Cork Facilities point of contact (POC) for all employees.
  • Conduct regular check-ups (audits) on the office space, facilities and equipment, ensuring all are well-maintained and in impeccable condition.
  • Perform regular inventory and audit of office equipment, supplies and company SWAG, procuring and distributing as needed or upon request.
  • Work closely with IT (in-house or outsourced) and HR teams to ensure all systems are running efficiently and IT stock is maintained and managed.
  • Coordinate with and manage third-party vendors including new vendor processes for services such as: food deliveries, office maintenance, security, janitorial, building management and IT/AV support.
  • Support the local operations during Business Continuity Plan (BCP) events.
  • Plan, oversee or otherwise support company engagement events and celebrations in partnership with local HR and Executive Administrators, including holiday and summer parties, breakfasts/lunches, socials, quarterly team building and ad-hoc celebrations or events.
  • Assist incoming employees visiting from other Remitly locations with local transportation, hotel, transfers, visas, Remitly facilities access, office seating and meeting space needs.
  • Support office budget planning, expense management, cost reduction, bill vetting, invoice processing and monthly reporting.
  • Ensure site compliance with all applicable HSA, HSE, H&S, fire warden and First Aid regulations including training participation.
  • Manage all in-house office security and systems, including access card allocation and inventory.

 

You Have:

  • 3+ years of experience in a similar company and understanding how a global business operates
  • Expertise working as a coordinator across different departments and geographies
  • Experience with basic IT issues and in working with IT (in-house, remote or outsourced) to set up employees on PC and iOS-based laptops and desktops
  • Experience with Google Suite and Microsoft Suite applications
  • Experience dealing with complex problems
  • Experience prioritising tasks in an evolving environment.
