You Will:

Supplier Onboarding & Setup

  • Own end-to-end vendor onboarding in NetSuite and Coupa — creating and maintaining supplier records, banking details, and payment terms with accuracy and full audit trail.
  • Lead the collection, review, and validation of tax documentation (W-9, W-8 series, and Philippine Withholding Tax certificates), ensuring all vendors are properly classified before any payment is processed.
  • Serve as the primary point of contact for new vendors during onboarding, guiding them through the vendor portal, resolving setup issues, and setting clear expectations on timelines.
  • Conduct initial supplier due diligence checks — screening against sanctions lists, validating TIN/EIN, and confirming banking details through callback or secondary verification procedures.
  • Maintain and continuously improve the supplier onboarding tracker, ensuring visibility across stakeholders and timely escalation of blocked or stalled onboardings.

Vendor Management & Compliance

  • Troubleshoot and resolve vendor-related issues including duplicate records, payment detail mismatches, and blocked payable setups — partnering with AP team members in Manila, Managua, and Seattle.
  • Uphold internal controls across the procure-to-pay process, ensuring vendor changes follow proper approval workflows and segregation-of-duties requirements.
  • Ensure all vendor payables are processed in compliance with departmental procedures, Philippine VAT and WHT regulations, and global statutory requirements.
  • Proactively identify gaps or risks in the supplier master data and work with the AP Lead to remediate and strengthen controls.

Stakeholder Support & Process Improvement

  • Support the AP Lead in managing the AP inbox, responding promptly and professionally to vendor and internal stakeholder inquiries related to onboarding status and supplier setup.
  • Collaborate with Procurement, Legal, and Finance teams to ensure a seamless onboarding experience aligned with company policy and vendor contractual requirements.
  • Identify and implement process improvements to reduce onboarding cycle time and error rates; Six Sigma or Lean methodology experience is a plus.
  • Review the work of AP Specialists on vendor setup tasks, providing guidance on GL coding, subsidiary allocation, and documentation standards.

You Have:

  • Bachelor's degree in Accounting, Business, Finance, or a related field.
  • 5+ years of professional experience in an Accounts Payable or Procure-to-Pay role, with a focus on supplier/vendor onboarding.
  • Solid working knowledge of Philippine VAT, Withholding Tax (WHT), and BIR documentary requirements (2307, 2316).
  • Hands-on experience with vendor master management in NetSuite, Coupa, or similar ERP/P2P platforms; experience with AI-driven vendor screening tools is a plus.
  • Strong understanding of supplier due diligence practices, including sanctions screening and banking verification protocols.
  • Familiarity with W-9 / W-8 series tax forms and IRS documentation requirements for US and cross-border vendor classification.
  • Proficient in managing vendor records across multiple currencies, subsidiaries, and global entities.
  • Proven ability to initiate and implement process improvements; Six Sigma or Lean certification is a plus.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Advanced proficiency in Excel and other MS Office applications.
  • Excellent verbal and written communication skills, with the ability to collaborate effectively across teams and geographies.
  • Highly organized, self-motivated, and able to work both independently and in a team-oriented environment.
